Planning a wedding is a big job that will likely take up much of your time and effort, so getting started is important. After you’ve chosen a venue and a date, the next big decision you will need is what kind of invitations you will send out. Your wedding invitations will communicate to your guests what type of wedding they can expect, as well as all the details they’ll need to know to attend. It’s a lot of responsibility for such a small piece of paper.

Because there is so much work to be done while planning a wedding, more and more couples are choosing all-inclusive wedding packages that include everything from the venues and caterers to the chairs and linens and even the invitations! Wedgewood Weddings owns and operates a collection of beautiful and diverse wedding venues that provide all-inclusive and fully customizable wedding packages! So, once you choose the venue, with the help of our expert staff, the rest of the details fall neatly into place! How perfect is that?

Does an all-inclusive wedding package sound too good to be true? We understand it’s a lot to take in. So, to help you get those planning wheels spinning, we’re breaking down everything you need to know about wedding invitations. You’ll be surprised how quickly and easily your wedding details will come together.

How to Choose the Perfect Design

At Wedgewood Weddings, we’ve simplified the invitation process for you with our wedding invitation packages, but we understand that you may still have trouble choosing the perfect design for your easy wedding invitations. As we mentioned before, this little piece of paper carries a lot of weight for your wedding, so we understand that it's a hard decision to make.

According to Zazzle.com, a good place to start is by picking the colors or theme of your wedding. Think of your invitations as a sneak peek into your wedding day. You’re going to want your invitations to make a good first impression! Choose a few colors you like and do some research into how they would fit into your wedding. Think about how formal or casual you want your day to be and how the colors or themes you choose will fit in with your venue and season selections. To help you brainstorm, consider the following themes:

  • Vintage - Referring to a wedding as “vintage” leaves plenty of room for interpretation. Most vintage style weddings make reference to the 1920s or 1940s and are generally expressed through the dresses, hair, and makeup worn by the bridal party. For easy wedding invitations that feel vintage, add elements like calligraphy, gold embellishments, and even wax seals.
  • Rustic - For a rustic-styled wedding, think about the simplicity of country life and the great outdoors. Often, rustic wedding decor and accessories will incorporate elements such as natural wood, metal, and unstructured bouquets and flowers. com has some tips on rustic invitations, such as weaving in some organic elements like wood textures or leaves and choosing nature-inspired hues. Just remember to keep it simple.
  • Floral - A floral theme is fairly straightforward and it’s one of our favorite choices for spring. Decorate everything from your cake to your wedding dress in your favorite flowers. Floral prints appear often in wedding stationary, so you can coordinate your invitation with the flowers you plan to use for your bouquet. Also, we love the idea of giving out flowers or even small potted plants as wedding favors.
  • Art Deco - An art deco inspired wedding is filled with personality. Think metallics, jewel colors, feathers, fans, sunbursts, and chevrons. Consider using mismatched chairs for your ceremony and get creative with your lighting and decor any way you can. For cool wedding invitations, look for geometric patterns, a glamorous gold color palette, and an art deco type font.
  • Elegant - For an elegant, formal wedding, plan to include all the traditional formalities but with modern design choices. Consider a classic and timeless color palette with neutrals and gold, and incorporate details like ribbons, wraps, or envelope liners. The key is to keep the invitation clean and classic while making sure everything fits together well.
  • Modern - To give your wedding a modern feel, choose a venue with a clean, neutral palette. White walls, concrete floors, and vaulted ceilings all point to modern style. We also love when couples choose colors like navy instead of the traditional black tux. For easy wedding invitations that feel modern, go minimalistic - less is more. Consider an all-white style with a textured theme that carries through the save-the-dates.

Wedding Invite Ideas That Are Uniquely Yours

At Wedgewood Weddings, we take special care of every single detail, so even though your invitations are just a small piece of paper, we think they should have a WOW factor. If you’re open to surprising your guests with a cool wedding invitation that feels a little more personal, there are endless ways to let your creativity and personality shine through. An article at Zazzle.com has some great wedding invite ideas that highlight some pretty cool and unique things to include on your invitations that will wow you guests and we loved a lot of their suggestions!

Add a line on your RSVP cards for a song request to be played at your reception. Your guests will feel like they’re really involved in your wedding day and they will be so excited to hear it play! Highlight your relationship by including a timeline or a silhouette that resembles you and your fiancé on the invitation. We especially love the timeline idea for those guests that may not be familiar with your love story.

We also love the idea of creating cool wedding invitations by using your own handwriting. You could either hand write the details and scan them onto your computer or learn calligraphy to address the envelopes yourself. It’s pretty easy to learn calligraphy, simply invest in some supplies and an instructional book or class. You could even offer your newfound skill to your friends in the future!

How to Make Your Guest List

Once you have your perfect, wedding invitations, you’ll need a list of people to send them to. Frankly, making the guest list can get a little dicey, especially if one or both sets of parents are contributing financially, so tread lightly. We recommend sitting down with everyone involved in paying for and planning your wedding and having an open conversation about everyone’s expectations. Even if you’re paying for and planning the wedding without help, it’s still a good idea to get the families together and talk about the guest list to avoid any hurt feelings on your wedding day.

According to TheKnot.com, the couple will traditionally get half the guest list and each set of parents get a quarter of the list. So, for example, if you’re inviting 200 people, you and your fiancé would get 100 guests, and each set of parents would get 50 guests. However, keep in mind that families come in all different sizes, so a different split might work better for you and your fiancé.

Once you’ve got the numbers down, it’s time to start jotting down the names. We find it’s easiest to start with a big list of everyone you could possibly imagine and then go back and make cuts. This way you’re less likely to forget anyone. Then, when it’s time to trim down the list to a more realistic number, agree on some “cutting rules” and stick to them. Some common rules for names that get the cut are: if neither of you have spoken to them in three plus years and they aren’t related to you, or if you’re only inviting this guest out of guilt. It may take some time, but eventually you should be able to come up with a list that everyone is comfortable with.

Finally, remember that only about 80% of the guests you invite will actually attend your wedding so it’s okay if your guest list is larger than your venue headcount goal. This is especially true if you’re inviting several guests from out of town; however, many will still send gifts.

How to Address Wedding Invitations and Why It Matters

Sending out wedding invitations is different than sending out regular mail like holiday cards. The way you address wedding invitations communicates who is invited to your wedding and mistakes can be embarrassing or even offensive! That’s why we love this article from Zola.com where they break down every addressing scenario possible. So make sure your wedding invitations are properly addressed and no one gets offended!

Generally, people expect wedding invitations to be pretty formal, so make sure to appropriately include professional titles, military titles, and relationship status. Traditionally, the outer envelope should be more formal with titles and full names, while the inner envelope is more informal with just first names listed. Also, because the way you address your invitations will communicate exactly who is invited to your wedding, you’ll need to decide whether or not you want children to attend. If you choose to have an adults only wedding, you will need to make that clear with your invitations.

To make extra sure the only people that attend are the ones you’ve specifically invited, print the guests’ names onto the RSVP card. This way, families with children will understand that only the adults are invited. This also applies to “plus ones” for single guests. If you intend to allow a guest to bring a date, make it clear on the envelope as well as the RSVP card. Typically, this would include guests that are in a serious relationship or guests who won’t know many people at the wedding and would have a better time with a plus one.

Other Information to Include

Once you’ve covered the basics (names, dates, locations), there are a few other things couples like to include with their invitations to make sure guests know what to expect. Guests appreciate knowing as many details ahead of time as possible so consider including a menu card, as well as directions in the envelope. Some couples also like to include a wedding events card for weddings that will span across several days. If you’re planning events such as welcome drinks, an after-party, a day-after brunch, and so on, it’s a good idea to include this full itinerary for guests so they can plan and pack accordingly.

We’ve also seen couples include an accommodations card for guests coming in from out of town. Your guests will appreciate your hotel recommendations and if you’re blocking off a set of rooms, be sure to also include a booking deadline. This is also a good opportunity to include any information you might have regarding transportation to and from the wedding venue.

Finally, if you have a specific dress code you’d like your guests to adhere to, consider adding that to the corner copy of your invitations. A simple “black tie” or “black tie optional” should be enough to communicate your expectations to your guests.

When to Send Out Your Wedding Invitations

There is something final about sending out your wedding invitations. As you drop them off at the post office, you realize this is really happening! It’s a fun part of the process, so enjoy it! Finding the perfect time to send out your invitations is a balance. You want to send them out early enough that people have time to plan, but not so early that they forget all about it. Traditionally, save the date cards should go out six to nine months before the date, destination wedding invitations should be sent four months before, and local wedding invitations two months before your wedding date.

Most caterers need a final headcount about two weeks before your wedding, so you’ll need to set the RSVP deadline to be about three to four weeks before your wedding day. And remember that there will always be people who forget to respond and you’ll likely have to make some uncomfortable phone calls to get an answer from them. At Wedgewood Weddings, we don’t ask for the final count until 10 days before your wedding, so hopefully you’ll have plenty of time to get a response from everyone. And it’s fine if someone responds “no” and shows up anyway, as we always plan to have extra food and chairs to cover this situation!
